The production board and the statuses of an order

What each status means, how an order moves across the board, what gets deducted when you complete it and what happens when something fails.

The statuses of an order

Every order (a quote or a shop sale) has a status. It is what you see in the Status column of the table and in the board columns.

StatusWhat it means
PendingStill waiting for the customer reply.
ApprovedThe customer gave the go-ahead (or you approved it). It is what has to be printed.
CompletedAlready printed, but not out of the workshop yet.
DeliveredThe customer already has it.
ShippedIt went out by shipping. It counts the same as Delivered.
RejectedIt will not be done. It is also the status when you cancel a quote.

Pending and draft

A freshly created quote and one already sent to the customer both show Pending. The difference is that the first one has not been shared yet.

Rejected and canceled

Rejecting and canceling show the same status, Rejected: in both cases the quote is out of play.

The production board

In Quotes → Board, orders show up as cards spread across four columns: Pending, In queue, Completed and Delivered.

  • Pending: waiting on a reply or without a printer and filament assigned yet.
  • In queue: approved, ready to print.
  • Completed: already printed, still in the workshop.
  • Delivered: already in the customer hands.

Each card goes to a single column based on its status. You can move it by dragging it or from the card menu, under Move to.

When you move a card to In queue, the order needs a printer and filament: BenchyOps opens the details so you can assign them. When you move it to Completed or Delivered from an unfinished status, it first asks for confirmation because it deducts material.

On narrow screens you see one column at a time, with tabs on top; on wide screens all four fit.

By default the board shows all active work (pending, approved and in queue) with no age limit, and finished work only from the last 60 days, based on its last update. With the date filter above the board you see every order whose delivery date falls inside the chosen range.

Old work does not hide itself

A pending quote from months ago stays visible on purpose: it is exactly what you need to see, not hide.

Overdue, due soon and the order

An order is Overdue or Due only while it is still pending delivery: it counts from Pending, Approved or Completed. Once Delivered, Shipped or Rejected, the promised date is no longer flagged.

The promised date is compared with today: if it already passed, the card shows Overdue; if it is due within the next 48 hours, Due. After those 48 hours, it shows only the date.

In the table, pending-delivery orders come first, sorted by promised date (the one due soonest on top; those without a date at the end). Then comes closed work, newest first.

Inside the active board columns the same rule applies: what is due sooner stays on top.

False alarms

A delivered order with an old date no longer leads anything. Before, those false alarms hid the orders that were actually late.

Advancing the print: the +1

In an order with several units, each card has a 1 button to add one printed unit. You can also complete them all at once by moving it to Completed.

Each 1 deducts the material and supplies of one piece from stock, and adds that slice of printer time. The bar shows Progress: 3 / 10; when it reaches the total, the order moves to Completed on its own and its price is added to the customer spend.

To add a unit, the order needs a printer and filament assigned.

Not enough stock

If there is not enough filament, BenchyOps warns you with the grams required and available before printing anyway. If you confirm with Print anyway, it deducts all the same and stock can go negative.

The 1 button only shows when the order has more than one unit.

What happens when you complete or deliver

When you mark an order Completed (or Delivered, if it was not finished yet), BenchyOps does the same math: it deducts from stock the material and supplies of the pieces still pending, adds the hours to the printer and adds the price to the customer spend.

  • Marks the order as 100% printed.
  • Deducts the filament and supplies that were pending.
  • Adds the price to what the customer has spent (unless it is an internal print or there is no linked customer).
  • Records the printer hours.
  • Moves it to Completed (or to Delivered).

If the order already had every unit printed with the 1, there is nothing left to deduct and it does not ask for confirmation. If pieces were still pending, a dialog warns you that material will be deducted.

Completing does not charge: the payment is recorded separately. See Payments, expenses and what you are owed.

Once Completed, Delivered or Shipped, the quote cannot be edited: its price was already added to the customer and its stock was already deducted. To fix it, first move it back to an earlier status. That subtracts the spend from the customer, but the filament already deducted does not go back to stock.

The quantity cannot go below what is already printed either.

Reject, cancel and undo

When you move an order to Rejected (reject or cancel), whatever was in production stops taking up the printer: its lines go back to pending.

If the order was Completed, Delivered or Shipped and you take it out of that group, BenchyOps subtracts from the customer the price it had added. The filament already deducted does not go back to stock, because the pieces were already printed.

Undo

Moving a card between Pending and In queue can be undone from the notice, because no stock or payments are at stake there. Completing or delivering cannot be undone: you first have to move it back to an earlier status.

Logging a failure or waste

From the card menu, Log failure, you enter the grams lost, the reason and which printer it happened on.

That waste is deducted from the stock of the quote main filament and saved with its cost (the grams times the cost per kilo). The period total shows up in the Waste view, next to Table and Board.

To log a failure, the order has to have its main filament loaded.

Shop orders on the board

A sale from the online shop enters the board with the SHOP badge. Unlike a quote, it does not bring a printer or material assigned.

The card shows No printer and No filament. When you open Plan production you assign a printer, a main material (and extra materials) to each line; when you tap Approve / In Production, the order moves to In queue with its lines in production.

A shop order cannot be duplicated.

Frequently asked questions

Can I edit a quote I already shared?

Yes, as long as it is not Completed, Delivered or Shipped. See [Sharing the quote](/docs/compartir-cotizacion).

Does completing deduct twice if I go back and complete again?

No. Only what is pending is deducted; units already printed stay recorded.

What happens if I cancel a delivery already made?

If it was Completed, Delivered or Shipped, the price is subtracted from the customer. The filament does not go back to stock.

Why does an old delivered order not say Overdue?

Because it no longer needs to be delivered. Only what is still pending delivery is flagged.

Who can move the cards?

Anyone in the workshop with access to Quotes.
