How to invite your team, what each role can do, and where activity is recorded.

Inviting someone

  1. 1

    Open Team

In the sidebar, open Team (only the owner and admins see it).

  2. 2

    Choose Invite member

Enter the Email and the Role the person will have.

  3. 3

    Send the invitation

They get an email with a link. The person creates their account and chooses their own password; you do not set it for them.

The invitation link expires after 7 days. Meanwhile, the invitation shows up in Pending invitations, with Resend and Revoke. Resending generates a new link and expiration; revoking cancels it.

  • You cannot invite an email that already has an account.
  • If you invite the same email again, it replaces the previous pending invitation.
  • Only an Owner can grant the Owner role.

The roles

In the app you will see four roles:

RoleWhat it is
OwnerFull control of the account.
Admin (Full Access)Almost everything except the subscription: team, store, finances, logs and workshop settings.
Employee (Can Operate & Delete)Day-to-day work: quotes, running the workshop, deleting and recording payments.
Member (Standard Access)Works in the workshop, but cannot delete or enter the admin sections.

The subscription is exclusive to the Owner: they are the only one who can change the plan and pay. That is why, even though the Admin is labeled "Full Access", they do not see it.

The Finances section is available from the Workshop plan, but recording a payment is available on every plan. Setting up the store, Sales & shipping and Appearance are also part of the Pro plan.

In Settings → Workshop, the admin sees the workshop data with the fields locked; only the Owner edits them. Employees and members go straight to My account.

Plan limits on users

The account counts the people who hold a seat, including pending invitations: the Hobby plan is for 1 person (the owner only), Workshop up to 3 and Pro up to 10. If the account already has more, nobody loses access: you just cannot add anyone until you free up space or move up. Accepting an invitation when the workshop is full does not create the account.

Changing a role or removing someone

On each person card, the menu has Edit, Change password and Delete.

  • Edit: you change name, email and role. Granting the Owner role asks for a confirmation, because it is full control of the account.
  • Change password: you assign a new password to that person.
  • Delete: they lose access immediately. You cannot delete yourself, or change your own role.

An Owner account can only be touched by another Owner. An Admin cannot edit, downgrade or delete an Owner.

Activity logs

Logs keeps the history of what happens in the workshop: quotes created, edited or completed; customers, filaments, supplies and printers created, edited or deleted; stock movements; users; logins and plan changes.

You can filter by action and by date range, and open a log to see the details and who did it. The owner and admins see that section.

Frequently asked questions

Does the invited person need to create a password?

Yes. The invitation link takes them to create their account and choose their own password; the workshop does not set it.

What happens if the invitation expires?

The link stops working. You can **Resend** it from Pending invitations to generate a new one.

Can I have two Owners?

Yes. An Owner can grant that role to another person, with confirmation. Only another Owner could revert it.

Can an Employee see how much the workshop billed?

No. They can record payments, but cannot enter Finances or Logs.

Who can change my role?

An Owner or an Admin, unless you are also an Owner: in that case, only another Owner.
