Setting up prices and workshop data

What every value in Settings → Workshop does, how it is used in quotes, and what changes (and what does not) when you update it.

On this page

Where the workshop settings live

Open Settings and go to the Workshop tab. That is where the values every new quote starts with, the catalog average costs and the contact data live.

The owner and admins can see the tab. Only the owner can edit it: if you are not the owner, the fields appear locked with the notice Only the owner of the organization can edit this data. Employees and members do not see this tab; they go straight to My account.

It is the starting point

What you set here is what every new quote starts with. After that you can change it on each quote without touching the settings.

The Pricing values

Under Pricing you set the values every new quote starts with:

  • Default margin: what is added on top of cost on every new quote. BenchyOps suggests 30% until you pick another; set it to 0 to quote at cost.
  • Electricity rate: what you pay per kWh. With the printer power draw and the printing hours it gives the electricity cost. If you leave it at 0, a reference rate is used: for example, $150 per kWh in pesos or US$ 0.15 in dollars.
  • Hourly labor rate: labor is charged at this rate. If you leave it at 0, a reference one is used: US$ 10 per hour (or its equivalent in pesos).
  • Labor per part: the post-processing minutes (removing supports, sanding, packing) preloaded in every new quote. It goes from 0 to 600 minutes; 0 means none.
  • Quote validity: how many days the price holds from when you create or share the quote. Between 1 and 365; 15 days by default. It is shown on the link and in the PDF.

The sample part

Next to the prices there is a sample part. It uses your first filament and your first printer, and the same calculation as a real quote, so the number you see is the one your data would give.

You can change the Grams, the Hours and the Units, and the sample recalculates instantly: it shows Material, Electricity, Machine use, Labor, the Cost, the Margin and, when it applies, the rounding, all the way to the Price.

If you have not loaded a filament or a printer yet, the sample offers a shortcut to do it right there.

Try without saving

The sample uses what is typed in the form, even before you hit Save. It is there to show the effect of a change before you apply it.

Currency and language

Under Region and currency you pick the System language (the one for the whole admin panel) and the System currency (the one for amounts and reports).

Changing the currency does not convert the amounts you already loaded: it only changes the symbol and the rounding. In pesos the price rounds up to multiples of $100; in dollars, to US$ 1.

The panel reloads

Changing the language or the currency reloads the panel, because the texts and formats of the whole system change.

Workshop details and notifications

Under Workshop details you load the Contact email. That address appears in your shop and on the quote PDF; it is not your login email.

The logo, the colors and the WhatsApp are edited in Appearance, with the rest of your store: they appear in your shop, on the public quote link and in the PDF the customer sees.

Under Notifications you can turn on Email me about new orders and requests: when a shop order or a quote request comes in, the owner and the admins get an email.

Your quote PDF (Pro)

In the PDF tab you choose how the PDF your customer gets looks: the template (Classic, Modern or Minimal), the color (your brand color or another one), the font and the document title (Quote, Estimate or Proforma).

You also choose what shows up (material, unit price, delivery, validity, the link to accept, your WhatsApp and email, and print weight and time) and add texts that go on every quote: your workshop details (tax ID, address, website), terms and payment options, and a closing message.

On the right you see a live preview with a sample quote; on a phone, open it with View preview. Saving is a Pro feature: on other plans you can try everything and see the preview, and your PDFs keep the Classic design.

Weight and time

It is off by default: with print weight and time, a customer can work out your costs.

What changes and what does not

A price change affects new quotes (and the sample part). It does not touch quotes already made: each one stores the costs its price was calculated with, so it does not change just because electricity or filament went up later.

If you edit a saved quote, it keeps showing that moment's breakdown; you can switch to today's costs on purpose.

Catalog prices do get recalculated when the average costs, a filament, a supply or a printer cost changes. See When filament costs change.

Frequently asked questions

Can I change the values quote by quote?

Yes. Settings only defines what they start with; each quote can change them.

What happens if I leave a price at 0?

The electricity rate and the hourly labor rate fall back to a reference value; a 0 margin quotes at cost.

Does changing the currency convert my prices?

No. It only changes the symbol and the rounding ($100 in pesos, US$ 1 in dollars). The amounts you already loaded stay as they are.

Who can see and edit this tab?

The owner and admins can see it; only the owner edits it. Employees and members do not see it.

How long is a quote valid?

For the days set in **Quote validity** (15 by default). If it already expired and has not been approved, sharing it again renews the term from today.
