Sharing the quote and letting the customer accept it

How to generate the link for the customer, what they see (and what they do not), how long the price is valid and what happens when they accept.

On this page

How to share it

  1. 1

    Open the quote

Find the quote under Quotes and open the actions menu.

  2. 2

    Choose Share with the customer

BenchyOps builds a public link with your workshop branding and the quote number.

  3. 3

    Send it

Copy the link, copy the message, or tap Send on WhatsApp. You can also tap View as the customer.

The share dialog also shows until when the price is valid, and whether the customer already opened or accepted it.

What the customer sees

The link page has your workshop name, logo and color. The customer sees the quote number, the date, the quantity of pieces, the material, the estimated delivery date and the total, plus your notes for the customer if you wrote any. In a shop order, they see each product with its quantity and price.

What the customer never sees: your costs, your profit or your risk margin. Only the final price.

If the sale has shipping paid by the customer, the product and the shipping appear as two separate lines before the total.

  • Download PDF: the same detail in a file.
  • WhatsApp: to write to you from the page (or Contact by email, if you did not load a WhatsApp number but did load an email).

Channel sales

If the sale is collected by a channel (for example, Mercado Libre), the page does not show Accept quote: it is closed in the channel.

Number and validity

Every quote has a sequential number per workshop: N° 0001, 0002 and so on.

Quote validity is set in Settings → Workshop → Prices (15 days by default). The price is valid from the moment you create the quote.

If you share a quote that had no validity or that already expired, BenchyOps renews it from today: sharing means holding that price.

The deadline appears on the link and in the PDF. After that date, the customer cannot accept it and sees that it expired.

What changes when you share it

Sharing it does not approve it. It stays Pending until the customer replies; what changes is that it now has a link and a validity.

When the customer opens it, it is marked Your customer opened it on…. If they have not opened it yet, it says Your customer has not opened it yet.

The share dialog shows whether they already accepted it: Your customer accepted it on….

When the customer accepts

The customer taps Accept quote, confirms the total and that is it. BenchyOps moves it to Approved, saves the date and links it to a customer (if none existed, it creates one with the name and contact from the quote).

Your workshop gets an email notice (if notifications are on).

From Approved you keep working. When you mark it Completed, Delivered or Shipped, BenchyOps deducts the stock for the pieces that were pending and adds the price to the customer spend.

The link is not lost

It can be opened as many times as needed: if the customer loses it, share it again and it is the same link.

When it cannot be shared or accepted

  • Internal print: it is not shared; BenchyOps warns you that internal prints are not shared.
  • Sale collected by the channel: the link can be viewed, but it is not accepted there; it is closed in the channel.
  • Expired: the customer sees that it expired and cannot accept it. Share it again to renew the validity.
  • Canceled or rejected: the link shows that it is no longer available.
  • Already approved, completed, delivered or shipped: the link shows the status and does not offer to accept.

The PDF

The customer downloads the PDF from the link. It carries your workshop logo and name, the number and date, the customer and their contact, the estimated delivery, the validity and a table with the job and its material, the quantity, the unit price and the amount, plus the total and your notes for the customer. If there is shipping, it appears as a separate row. If it does not fit on one page, it continues on the next.

The PDF does not show costs, profit or internal data such as the printer, hours, grams, filament brand or supplies. If the quote was already shared, the link to accept it online appears (or to view it, if it can no longer be accepted).

The PDF is built when it is downloaded: it always carries the quote and workshop data of that moment.

Frequently asked questions

Does the customer need an account?

No. The link is public and only shows the final price.

Can I share it without a linked customer?

Yes. If it is not linked, accepting it creates a customer with the name and contact you loaded.

Can I edit a quote I already shared?

Yes, as long as it is not Completed, Delivered or Shipped. When you save, the link shows the new price; if the customer already saw it, let them know.

How long does the link last?

The link does not expire. What expires is the price validity.

Can I accept it myself from the panel?

Yes, you can move it to Approved by hand. Acceptance through the link is recorded as the customer's.
